Every line in its cost center,
without you sorting it.

Kitchen, bar, dining room, general: every invoice line ends up in the right center by itself, worked out from the vendor, the product and the document. When in doubt it asks you once, and learns.

Costs get sorted by the accountant, their way.

Invoices end up in accounts that serve the financial statements, not you: “purchases of goods”, “services”, “utilities”. You don't know what the kitchen costs compared with the bar, how much the dining room weighs, what's changed. And sorting them by hand would cost an afternoon a week.

  • Accounting categories

"Goods purchases" doesn't tell you whether it's meat or beer.

  • Sorting by hand

35 lines a night, nobody does that.

  • One total, no department

The bar could be losing money, and you wouldn't see it.

How it decides

Vendor, product, document: three clues, one center.

It works out the cost center from who's selling, what they're selling and what kind of document it is. When in doubt it asks you, once: the answer becomes a rule and that vendor's next invoice goes by itself.

How it decides4 rules
From the vendorMiller Meats → KitchenEverything they sell goes to kitchen, ingredients
From the productBeer, wine, coffee → BarEven if the vendor also sells produce
From the document typeUtilities and fees → GeneralElectricity, gas, rent, software
Learned just nowEcolab → General · cleaningFrom an answer of yours: it applies to the next invoices
The rules come from your answers: you give them once

You decide the centers, it places the lines.

Kitchen, bar, dining room, general: or the ones you use, per location too. Inside every center, the nature of the cost: ingredients, consumables, utilities, staff. It's the structure the P&L and the dashboard then read.

  • Your own centers and natures

Set up once, even different per location.

  • Confidence declared

Below 90% it asks you, above that it goes on its own.

Over the month

Every center with its cost, and its sales next to it.

At month end, without sorting anything, you see what the kitchen costs, what the dining room costs, what the bar costs. And since POS sales are by department too, you know who earns and who doesn't: not one total, three P&Ls.

  • Costs by center

    From reconciled invoices, every night.

  • Sales by department

From the POS: the bar sells drinks, the kitchen sells dishes.

One line, four places

The right line in the right center makes everything else add up.

The cost center isn't an accounting label: it's what makes the P&L, the dashboard and the reports readable. If the pancetta ends up in the kitchen, the kitchen's cost is true, the food cost is true, the morning comment is true.

  • From the invoice

    Every line, every night.

  • To the P&L

    By center and by type.

  • To the morning report

With the why, not just the number.
